Press Release Parts

Press Release Details

FOR IMMEDIATE RELEASE: Always include this at the top
Title (example: XYZ Company Introduces New Internet Widget to Maximize Sales) Your headline needs to "grab the attention" of the editor. It should appear in bold type and a font that's larger than the body text. Don't put it in all caps - use mixed case and keep to around 80 characters.
Subtitle (example: Innovative Web 2.0 application designed to increase the online visibility of products and services in today's tough economic climate.) The summary paragraph is your synopsis of the news, elaborating on the headline in one or two sentences.
City, State, Date (example: Kansas City, Missouri, January 1, 2009) --Grab your reader's attention with the lead sentence and briefly summarize the entire press release first.

Be sure to answer the 5 "W's" (who, what, when, where, why) and how. Re-state and summarize your key points here. Also include quick links to your site to reinforce the name and location of your Web address like this: http://www.xyzcompany.com.
This is the introductory paragraph. It should be clear and concise. Your lead sentence should contain the most important information.

A news release, like a news story, keeps sentences and paragraphs short, about three or four lines per paragraph. Use the active, not passive voice.

Try to limit your text to 5 or 6 paragraphs total - and keep it all on one page if possible.
"This provides another opportunity to emphasize the benefits or unique selling points of a new product, service or other development," says John Smith, CEO and founder of XYZ Company. Use quotes from key execs, customers or subject matter experts.
